Export Responses
Data captured in custom forms can be exported to Excel (XLSX) for external analysis, report generation, or integration with other systems.
Basic Export
Section titled “Basic Export”Export all responses
Section titled “Export all responses”- Go to Custom Forms
- Select the form
- Go to the Responses tab
- Click Export or the download icon
- An XLSX file is generated
File contents
Section titled “File contents”The Excel file includes:

Filter Before Exporting
Section titled “Filter Before Exporting”By date range
Section titled “By date range”- Use the date filters in the response list
- Select start and end dates
- List is filtered
- Export only visible responses
By status
Section titled “By status”- Completed only: Excludes drafts (default behavior)
- Include drafts: Check the corresponding option
By user
Section titled “By user”If multiple users complete the form:
- Filter by specific user
- Export only their responses
Excel File Format
Section titled “Excel File Format”Sheet structure
Section titled “Sheet structure”Sheet 1: Responses Contains all responses in tabular format, one row per response.
Sheet 2: Metadata (if available) Information about the form and export:
- Form name
- Export date
- Filters applied
- Total records

Handling Photos
Section titled “Handling Photos”Photo URLs
Section titled “Photo URLs”Photos are exported as URLs pointing to stored files.
Download photos
Section titled “Download photos”URLs are valid as long as you have farm access. To download:
- Copy the URL from the cell
- Paste in your browser
- Image opens/downloads
Scheduled Exports
Section titled “Scheduled Exports”Automatic exports
Section titled “Automatic exports”If you need regular exports (daily, weekly):
- Contact support team
- Automatic email sending can be configured
- File is attached on scheduled date

- Keep a master file with consolidated data
- Document filters used in each export
Security
Section titled “Security”- Files may contain sensitive information
- Store in secure locations
- Delete files you no longer need
- Don’t share photo URLs publicly
